CSU Approval Process & Guidelines

 

Posters are a great way to promote events and initiatives across Concordia. Public bulletin boards are primarily used to share student club activities and other initiatives of interest to the Concordia community.

The Concordia Student Union (CSU) is one of the several student associations authorized to approve posters for these boards. Through this process, we help ensure postering remains fair, accessible, and in line with university guidelines, while supporting a safe and respectful environment for everyone.

HOW TO POST ON CAMPUS

Looking to promote your event or initiative? Just follow these steps:

  1. Review the guidelines: Before creating your poster, make sure it meets CSU and Concordia University postering requirements;
  2. Get pre-approval: Send us your poster for approval:
    1. Email a digital copy to contactus@csu.qc.ca
    2. Bring a physical copy to one of our offices:
      1. H-711 SGW
      2. CC-426 LOY
  3. Complete the request form: Fill out the Poster Request Form using the following link ;
  4. Print and stamp your posters: Once approved, print your posters and bring them to our office for stamping and final approval;
  5. Post your materials: Post your stamped posters on any public boards using pins or thumbtacks only. Avoid glue, sticky tack, tape, and staples;
  6. Remove your posters: Take down your posters after 2 weeks or once your event has passed, whichever comes first.

KEY GUIDELINES

  • Maximum 75 posters per event
  • Maximum size: 11 × 17 inches
  • Posters must include:
    • Organizer (Concordia group/department/association)
    • Event location, date, and time
  • Posters may be in any language but must include an English or French translation
  • Posters may be displayed for a maximum of 2 weeks
  • Posters may only be placed on designated public bulletin boards
  • Poster content must be appropriate for a general audience (ie, no depictions of violence, drugs, gambling, and/or nudity)
  • For events involving alcohol, images or logos of alcoholic drinks must be small and cannot be the focus of the poster

WHAT WE CAN’T APPROVE

  • We’re unable to approve posters that:

    • Contain discriminatory or harmful content (including sexist, racist, homophobic, or transphobic material);
    • Involve cultural appropriation (ex: promoting events or using imagery that misrepresents a culture not represented by the organizing group);
    • Promote open bar or “all-you-can-drink” events (these are illegal in Quebec and may result in fines or loss of event organizing privileges);
    • Are commercial in nature;
    • Promote gambling events without a proper license, illicit drug use, or other illegal activities;
    • Depict violence of any sort;
    • Do not align with Concordia’s postering guidelines and policies and/or the CSU’s mission and values.

    The CSU reserves the right to refuse or remove posters that do not meet these guidelines.  These measures help ensure equitable access to posting space, maintain campus safety and cleanliness, and support a respectful environment for all members of the community.

EXAMPLES (WHAT WORKS & WHAT DOESN’T)

To help you prepare your poster, here are a few quick examples of posters we would approve, posters we would reject, and why:

A Poster We Would Approve

  • Event organizer and logo are present
  • The event name, date, time, and location are clearly indicated
  • The poster promotes an activity that is beneficial for student life
  • The content is appropriate and follows all guidelines

Posters We Would Reject

Although the time, day, and location are indicated, the poster has several flaws:

  • The poster promotes an all-you-can-drink event
  • The event is not sponsored by a recognized Concordia body
  • The promoted event is not happening on campus
  • The poster is commercial in nature
  • The alcoholic drink is the visual focus of the poster

Posters We Would Reject

Although the content is appropriate and the time, date, and location are indicated, the event organizer and logo are missing.

SPECIAL CASES

External Events

Posters for activities organized by a group based outside of Concordia will only be considered for approval if they:

  • Are relevant or beneficial to the Concordia community, and
  • Take place on campus and/or are sponsored or co-organized with a Concordia group (which must be clearly identified on the poster).

Research & Recruitment Posters

  • Concordia studies/labs must include: lab/department name, location, and contact information.
  • External studies/labs require proof of ethics approval from the Concordia Office of Research.

Personal Advertisements (Tutoring Only)

Only tutoring advertisements are permitted.  To be approved, the following conditions must be met:

  • The tutor must be a current Concordia student;
  • The tutor must be self-employed (not affiliated or employed by a tutoring company);
  • Tutoring must be offered for a course currently available at Concordia, and the course code is clearly listed on the poster;
  • The hourly rate must not exceed 30$ per hour;
  • A maximum of 25 posters may be posted.
