LIC Assistant Manager

Salary/Hourly Rate: $22.12 (Class 6)/ 35 hours
Responsibilities
The LIC Assistant Manager will perform the following duties:
- Reports the milestones and statuses of their projects and tasks to the LIC Manager;
- Hires, trains, and supervises Administrative Assistants and coordinates the general and equal distribution of tasks in the department;
- Provides training to the LIC volunteers on office technology and procedures, and drafts the schedules of the volunteers every semester;
- Develops, implements and documents processes, protocols and procedures. Processes should be documented via process mapping with diagrams.
- Ensures that all the Salesforce cases are assigned, accurate, and complete;
- Point of Contact in all IT requests on behalf of LIC;
- Be the Super User on the Customer Relationship Management (CRM) software;
- Assists the IT Department in testing as a privileged user, and in the implementation of software programs;
- Identifies and recommends new technological features and functions in regards to LIC’s needs;
- Encourages feedback from LIC volunteers, clients and partners, and regularly reviews the feedback, and makes recommendations to improve services of the department;
- Under the direction of the LIC Manager, produces a bi-annual and annual report, and supervises the finances of the department within the approved budget;
- In collaboration with the CSU Communications department, provide ideas and updates for the CSU website, Facebook page and other social media platforms;
- Collaborates with other departments on projects;
- Plans, coordinates and oversees events and workshops;
Requirements
- Education in Business Technology Management, Administration, Operations Management, or related fields, or over 2 years of full-time related experience in administration;
- Experience in drafting and implementing policies and protocols;
- Experience in training and supervising a team;
- Experience in using a Customer Relationship Management software program or a software with similar complexity;
- Tech-savvy and curious;
- Adapt quickly to technological changes;
- Excellent interpersonal and communication skills;
- Excellent critical thinking and problem-solving skills;
- Autonomous, strong sense of responsibility, reliable, and patient;
- Detailed-oriented and organized;
- Loyal, collaborative and a team player;
- Experience in project management;
- Excellent oral and written English with intermediate French skills;
Assets
- Experience using Visio is an asset;
- Experience in process mapping;
- Salesforce experience is considered a strong asset;
- Proficiency in Microsoft 365 is considered an asset;
- Experience working in a legal clinic or equivalent;
